1. Introduction
These Terms & Conditions govern all bookings and simulator experiences provided by 3 Counties Flight Simulators ("we", "us", or "our"). By booking or participating in a simulator session, you agree to these terms.
2. Bookings
All simulator sessions must be booked in advance. Bookings are only confirmed once payment has been received. We reserve the right to refuse or cancel bookings where necessary.
3. Payments
Payment must be made in full at the time of booking unless otherwise agreed. Prices are listed in GBP and include any applicable taxes unless stated otherwise.
4. Cancellations and Rescheduling
Customers may reschedule their booking with at least 48 hours notice. Cancellations made more than 48 hours before the booking may be rescheduled. Cancellations made within 48 hours of the booking may not be refunded.
5. Arrival Time
Participants should arrive at least 10 minutes before their scheduled session. Late arrival may reduce the available simulator time.
6. Participant Conduct
Participants must follow all instructions provided by staff or instructors. We reserve the right to refuse participation to anyone who appears intoxicated, behaves in an unsafe manner, or fails to follow instructions.
7. Age Restrictions
No bookings shall be made for individuals under the age of 16 unless otherwise agreed. Individuals under the age of 18 must be accompanied by a responsible adult throughout their time on our premises. Individuals will not be considered a responsible adult at anytime they are participating in use of a simulator.
We reserve the right to request an age verification.
8. Health and Medical Conditions
Participants should inform staff of any medical conditions that may affect their ability to participate, including epilepsy, severe motion sickness, or similar conditions.
9. Motion Sickness and Simulator Effects
Some individuals may experience motion sickness, dizziness, or discomfort while using a flight simulator. Participants may stop the session at any time if they feel unwell. 3 Counties Flight Simulators accepts no responsibility for temporary discomfort experienced during or after a session.
10. Damage to Equipment
Participants must treat all simulator equipment with reasonable care. Any deliberate or negligent damage to equipment, controls, displays, or surrounding facilities may result in the participant being held responsible for repair or replacement costs.
11. Spectators
Spectators may be permitted to observe sessions where space allows. Spectators must follow staff instructions and behave safely. Children must be supervised at all times by a responsible adult, not including any participant using the simulator.
12. Liability
While we take reasonable care to ensure a safe environment, 3 Counties Flight Simulators shall not be liable for indirect or consequential loss or damage except where required by law. Nothing in these terms limits liability for death or personal injury caused by negligence.
13. Gift Vouchers
Gift vouchers are non-refundable, not redeemable for cash, and must be used before the expiry date stated on the voucher.
14. Photography
We may occasionally take photographs or video for promotional purposes. Customers who do not wish to appear in such material should inform staff on arrival.
15. Changes to Terms
We reserve the right to update these Terms & Conditions at any time. The latest version will always be available on our website.

7. Where We Get Personal Information From
We obtain personal information:

8. How Long We Keep Information
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected and to comply with legal, accounting and operational requirements.
Customer booking records, contact details and transaction information are generally retained for up to six (6) years to comply with legal and tax obligations.
Customer enquiries and correspondence are retained only for as long as required to manage and respond to those enquiries.
Our website is hosted and processed through Squarespace, which acts as a data processor on our behalf. Data processed through the website is retained in accordance with our retention practices and securely deleted or anonymised when no longer required.
We operate CCTV systems within our premises for safety, security and crime prevention. CCTV recordings are retained for a maximum of thirty (30) days before automatic deletion, unless required for an investigation or legal proceedings. Access to CCTV footage is restricted to company directors or provided where legally required.
When personal information is no longer required, it is securely deleted or anonymised.
